If you use a mail client like Microsoft Outlook, Outlook express or Mozilla Thunderbird, your mails will be copied by that program to your local hard drive. Normally, the mails will be deleted from the server when copied, but there is an option to leave the messages on the server.

If this option is active the mail client won’t delete the mail from the server and your mailbox will fill up, with the ‘quota exceeded’ error as a result.

This is how you can change this setting:

Microsoft Outlook 2007:

    • Go to the menu ‘Tools’ – ‘Account settings’
    • Double click on the account you want to change
    • Klik ‘More Settings’
    • Go to the tab ‘advanced’
    • Uncheck ‘Leave a copy of the mail on the server’

Microsoft Outlook Express:

    • Go to the menu ‘Tools’ – ‘Account’
    • Choose the tab ‘Mail’
    • Double click on the account you want to change
    • Go to the tab ‘Advanced’
    • Uncheck ‘Leave a copy of the mail on the server’

Mozilla Thunderbird:

    • Go to the menu ‘Tools’ – ‘Account settings’
    • On the left side choose ‘Server settings’ below the name of the account you want to change
    • Uncheck ‘Leave messages on server’
